1. Acceptance of terms
By registering for or using the Club Volunteer platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service.
These Terms form a binding agreement between you (or the organisation you represent) and Club Volunteer Systems (ABN 60 657 513 070), the operator of the Service.
2. The Service
Club Volunteer is a cloud-based volunteer management platform that enables sports clubs and similar organisations to:
- Create and publish shift rosters
- Allow volunteers to register for shifts via a public link
- Send automated reminder and confirmation emails to volunteers
- Maintain a volunteer database and send targeted communications
- View reports on volunteer activity
We reserve the right to modify, suspend or discontinue any aspect of the Service at any time with reasonable notice to account holders.
3. Accounts
To use the platform you must create an account with a valid email address. You are responsible for:
- Maintaining the confidentiality of your login credentials
- All activity that occurs under your account
- Ensuring that any team members you invite comply with these Terms
- Notifying us immediately of any unauthorised access at info@clubvolunteer.com.au
You must provide accurate information when creating your account. Accounts created using false information may be suspended or terminated.
4. Subscription & billing
Free trial
New accounts receive a 30-day free trial with full access to all features. No payment information is required to start a trial. At the end of the trial period you must subscribe to continue using the Service.
Subscription
After the trial, the Service is provided on a monthly subscription basis at $15 AUD per month (Club Plan). Pricing is subject to change with 30 days' notice to account holders.
Payment
Payments are processed by Stripe. By subscribing you authorise us to charge your nominated payment method on a recurring monthly basis. Club Volunteer does not store credit card details — all payment data is handled securely by Stripe.
Cancellation & refunds
You may cancel your subscription at any time from the Billing section in your account settings. Cancellation takes effect at the end of the current billing period. We do not provide partial refunds for unused time within a billing period, except where required by Australian consumer law.
Lapsed subscriptions
If a payment fails, access to the platform will be restricted until payment is resolved. Your data will be retained for 90 days following subscription lapse before being deleted.
5. Acceptable use
You agree not to use the Service to:
- Send unsolicited bulk email or spam to volunteers
- Upload or distribute malicious software or harmful content
- Attempt to gain unauthorised access to the platform or other users' accounts
- Scrape, copy or redistribute platform data without permission
- Use the Service for any unlawful purpose or in violation of any applicable law
- Impersonate another person or organisation
We reserve the right to suspend or terminate accounts that violate these conditions without refund.
6. Volunteer data & your responsibilities
When you use Club Volunteer to manage your volunteers, you are the data controller for the personal information of those volunteers. You are responsible for:
- Ensuring you have a lawful basis for collecting and using your volunteers' personal information
- Providing your volunteers with appropriate notice about how their data is used
- Complying with the Privacy Act 1988 (Cth) and any other applicable privacy laws
- Responding to your volunteers' requests to access, correct or delete their data
Club Volunteer processes volunteer data on your behalf as a data processor. We will only use volunteer data to operate the Service and as described in our Privacy Policy.
7. Intellectual property
The Club Volunteer platform, including its design, software, branding and content, is the property of Club Volunteer Systems and is protected by Australian and international intellectual property laws.
You retain ownership of all data you upload to the platform (including volunteer records and roster content). By using the Service you grant us a limited licence to store and process that data solely to provide the Service.
You may not copy, modify, distribute or reverse-engineer any part of the platform without our written permission.
8. Limitation of liability
To the maximum extent permitted by Australian law, Club Volunteer Systems is not liable for any indirect, incidental, special or consequential loss arising from your use of the Service, including but not limited to loss of data, loss of revenue, or failure of volunteers to attend shifts.
Our total liability to you for any claim arising out of or in connection with the Service will not exceed the amount you paid to us in the 12 months preceding the claim.
Nothing in these Terms limits liability that cannot be excluded under the Australian Consumer Law, including guarantees relating to the supply of services.
9. Termination
You may terminate your account at any time from within the platform or by contacting us.
We may suspend or terminate your account without notice if you materially breach these Terms or if we are required to do so by law. We will provide reasonable notice for non-material reasons.
Upon termination, your access to the Service ceases. Account data is retained for 90 days before deletion, after which it cannot be recovered.
10. Changes to these terms
We may update these Terms from time to time. When we make material changes, we will notify account holders by email at least 14 days before the changes take effect. Continued use of the Service after that date constitutes acceptance of the updated Terms.
The current version of these Terms is always available at clubvolunteer.com.au/terms.
11. Governing law
These Terms are governed by the laws of New South Wales, Australia. Any disputes arising under these Terms will be subject to the exclusive jurisdiction of the courts of New South Wales.
