Athletics & Little Athletics Volunteer Management

A Little Athletics competition morning can need 100+ parent duties: an Age Group Coordinator and field event officials for every age group, plus track, canteen and pack-up. Club Volunteer lets families pick, manage and cancel their own duties, reminds them automatically, and shows you who has arrived as they check in — so your roster coordinator can stop chasing and start the program on time.

Built around how Athletics clubs actually work

Every age group needs its own coordinator and its own shot put, long jump, discus and javelin officials. If one is missing, that event can't run. Rostering that by spreadsheet and group chat, week after week, is a part-time job for someone on the committee.

A real competition morning

Screenshots from one Australian Little Athletics centre's Saturday — 102 duties across every age group.

Every age group in its own column

U8 to U15–18, boys and girls, each with its coordinator and field event officials. Fill bars show the one gap left at a glance, and confirmed, awaiting and still-needed counts sit across the top.

Live check-in on the day

Parents scan a QR code at the centre when they arrive. Switch to Live and watch 93 of 98 sign in, and see who hasn't arrived before the first event starts.

Built for competition morning

What we've built with athletics centres running their Saturday program on Club Volunteer.

One reminder per parent

A parent on three duties gets one reminder listing all three, each with its own confirm button. Once they confirm, the reminders stop, and they get one thank-you afterwards, not three.

QR check-in that means it

Check-in only opens in a set window around the duty's start time (30 minutes either side by default), so a parent can't tick themselves off from the car park at 7am and leave.

Families manage their own duties

Parents pick, view and (if your centre allows it) cancel their own duties from a link. No account, no app, and no more "can you swap me?" messages to the roster coordinator.

See the gaps before 8am

The live view shows who has checked in and who hasn't, and lets you swap in a replacement or sign someone in manually, without leaving the track.

Bring your spreadsheet

Import your roles and rosters from a spreadsheet to get set up, then reuse them every week and next season.

Reminders on your timing

Choose how far ahead reminders start, from the day before to a week out, to suit how your families plan their weekends.

When coordinating hundreds of volunteers across over 100 different roles, I am usually tied up for countless hours… The ease for families to select, manage and cancel their own shifts is fantastic and takes the pressure off my role.

“The check in via QR code at the Centre, and having a set time that check in is allowed (ie, 30 mins either side of start time) is such a good feature to stop volunteers from checking in whenever then not actually showing up.”

— Roster Coordinator, Athletics Centre
